Equipment maintenance log template

Keep a clear record of what was done, who did it, and when the machine needs attention again. Print a sheet for each machine and add more copies whenever you need them.

How to keep the log useful

  1. Identify the machine before adding a service entry. Use an asset ID so similar machines do not get mixed up.
  2. Record the date and the meter reading at the time of service. Keep hours and miles clearly labeled.
  3. Describe the work actually completed, parts used and unresolved findings. Leave a clear next step for open issues.
  4. Record the next due date or meter reading using the manufacturer’s requirements. Some tasks have both a time and a usage interval.
  5. Keep supporting receipts and technician reports with the record. Update the log after each service.

Example entry

Illustrative only: “Utility vehicle 12 · October 8 · 428 hours · Inspected reported leak; repair remains open · Assigned to shop · See work order 24.” An inspection is not a completed repair. Do not mark equipment ready until your required checks are complete.

When should you move beyond paper?

A printed log works well for a small set of records. When several people need the same history, or open work gets lost between shifts, SteadyIron connects equipment maintenance, work orders, inspections and crew tasks.

Plans start at $29/month. See current pricing and equipment allowances. No credit card is required for the trial.

Does this template set service intervals?

No. Use the manual for the exact model and your operating conditions. This log records maintenance; it is not a repair procedure or a substitute for qualified inspection.
